Managing Your Templates

Managing Your Templates

The Templates page is your library of reusable contract documents. This page explains how to find, organize, duplicate, and retire templates over time.

Templates list with status filter tabs and template cards displayed

Select Templates in the E-SignSeal sidebar to open the list. Templates are displayed as cards, each showing:

  • Template name

  • Status badge (Draft, Published, or Archived)

  • Template type tag (NDA, Services, HR, Compliance)

  • Last modified date

  • Creator name

Filtering by status

Use the status tabs at the top of the list to narrow your view:

  • All — shows every template including archived ones

  • Draft — templates still being authored

  • Published — templates available for Senders to use

Filtering by type

Use the Type dropdown to filter by contract category: NDA, Services, HR, or Compliance. Template Managers assign a type when creating a template — it is a label only and does not affect behaviour.

Searching templates

Use the search box at the top of the list to filter by template name. Search is case-insensitive and matches partial names, so typing nda will surface Mutual NDA — Vendor Standard and NDA — Employee Invention.

Actions on a template

Select the ... (more actions) menu on any template card to see the available actions for that template's current status.

Duplicating a template

Creating a draft copy is the standard way to revise a published template. The copy inherits all content and field chips from the original. E-SignSeal appends — Copy to the name and assigns the copy a new internal ID.

Both the original published template and the new draft coexist independently. You can publish the copy while the original is still active, then archive the original when you are ready to retire it.

Deleting a template

You can only delete templates that are in Draft status. Deletion is permanent and cannot be undone.

Published and archived templates cannot be deleted — this protects the integrity of historical contracts that reference them. If you need to remove a published template from the Senders' picker, archive it instead.

Template versioning

E-SignSeal does not support in-place version numbering in Phase 1. Each published template is a distinct, immutable document. Treat each published template as a named version: include the version or date in the template name if your team needs to track evolution (for example, Mutual NDA — Vendor Standard v2 (Jul 2026)).
